Preparation starts before export

An audit packet is only as useful as the records behind it. Ledger Road keeps driver files, inspection reports and maintenance evidence connected to the people and equipment they concern. That gives you a place to work through gaps before an auditor asks for the paperwork.

Match the packet to the request

Read the request first: which drivers, vehicles, record types and dates are involved? Use those details to organize the response. Review the resulting packet against that list. A large export is not automatically a complete answer, and sending unrelated records makes the review harder for everyone.

Keep evidence with the record

A maintenance entry is easier to explain when its supporting paperwork is available. An inspection defect is easier to follow when the correction evidence can be found. Keeping these together throughout the year reduces the work needed to reconstruct events later.

Example packet review

For a request concerning one driver and one truck, begin with the named driver’s qualification records and the truck’s requested inspection and maintenance records. Check dates, legibility and document identity. Note any missing material and assign follow-up before sharing. The example index above illustrates the organization; it is not an official FMCSA checklist or an actual customer packet.

Software and the audit are different jobs

Ledger Road helps assemble your records. It does not decide the outcome of a government review, certify every document or replace the auditor’s request. Hours-of-service, drug and alcohol, insurance and other requested evidence may come from systems or providers outside this product. Keep that broader request in view.

What's inside a packet

A packet is a plain archive: an index, driver files, signed daily inspections, annual inspections unit by unit, maintenance work and schedules, roadside write-ups with their repairs, a record of who signed what and when, and the original scans. Each part is a PDF, and the scans sit in their own folder.

It opens on any computer

The person reviewing your records needs nothing to install and no account to create. An auditor can open the archive on their own laptop and read it straight away.

The index lists what's missing too

The first file says what the packet contains and what it doesn't. An export that quietly leaves something out invites the reader to assume it's complete; this one tells them.

Or give the auditor read-only access

An auditor, insurer or broker can have their own login instead of a folder of scans. It can read and never write, and it stops working on the date you set, or sooner if you revoke it. Drug and alcohol records stay out of reach unless you grant them.

Retention you can explain

Every retention clock the rules set is shown with the rule behind it, along with which records have passed the end of one. Nothing is deleted for you; removal is a decision you make, and the reasoning is written so you can answer an auditor who asks why something is still on file.

Before you choose

Is an audit packet a complete new entrant audit response?

Not necessarily. A request can include records held outside Ledger Road, such as hours-of-service or program evidence. Match the packet to the request and gather those other materials separately.

What should I do if a requested record is missing?

Keep it on an explicit follow-up list, identify who can obtain it and preserve the actual facts. Do not create or backdate a document simply to fill a gap. Review the auditor’s instructions for handling an incomplete response.

Can an auditor change or delete records?

No. Reviewer access is read-only and expires on the date you choose.

What format is the packet in?

A single archive of PDFs plus the original scanned documents, readable on any computer.

How quickly can I produce one?

As soon as it's requested. The packet is built from the records you already keep, so there's nothing to assemble by hand.
